General Description of Position:
Under the direction of the Assistant Vice President of Sponsored Programs & Project Support Officer, the Executive Director of Sponsored Programs & Project Support ensures timely and successful completion of a variety of projects, grants, and initiatives that are within the purview of the Business Affairs Division. The Executive Director will develop and utilize detailed, working knowledge of business affairs processes, systems, and staff, combined with superior project management skills, to coordinate work within the division and serve as a liaison to other divisions, as needed. This position has frequent contact with public and private entities.
Major Responsibilities:
Leads and manages the workflow associated with multiple projects, grants, and other collegewide initiatives housed within the Business Affairs Division including, but not limited to: systems office grants management; lead the ongoing implementation and support of Ivy Tuition & Textbooks; coordinate the BeLively outreach campaign; Gallup Employee Engagement Survey; and other assigned partnerships and projects.
PROJECT IMPLEMENTATION AND SUPPORT:
Lead and execute comprehensive project plans with built-in continuous improvement methods for all assigned projects.
Manage the coordination of cross-functional project teams, lead and facilitate effective team meetings, synthesize discussions, and assign and document actionable next steps.
Track all project deadlines, deliverables, and outcomes for assigned projects and ensure timely execution of deliverables.
GRANTS MANAGEMENT:
Meet with systems office Project Directors regularly to discuss grant management, meet progress reporting requirements, and requests for modifications.
Ensure grant compliance on all systems office grants.
Assist systems office Project Directors in gathering necessary approvals for purchases and/or modifications.
Monitor programmatic activity on assigned grants including meeting metrics, reporting to Sponsors, etc.
Provide proactive account management, financial projections, and account balance reports for project directors.
Serve as Grants Officer for systems office grants.
TRAINING, OUTREACH, & COMMUNICATIONS:
Lead and create effective communications for both internal and external stakeholders, grant administrators, and project directors.
Support ongoing training, technical assistance, and support to all grant staff and project directors to ensure effective grant implementation, reporting, and compliance.
Design and create project and grant spotlights on behalf of Sponsored Programs.
Provide project and grants progress updates as needed for division leaders, president and cabinet, and state board of trustees.
Maintain the Sponsored Programs newsletter for all grants managers featuring upcoming training and professional development opportunities, grants compliance resources, and featured spotlights.
Manage content updates for the Sponsored Programs, Ivy tuition, Ivy textbook, and another other project-based website landing pages.
ORGANIZATIONAL EFFECTIVENESS:
Assist with improving upon existing policies and procedures through documentation, evaluation, and continuous improvement.
Leverage and promote project management tools across the Business Affairs Division to improve efficiencies and overall effectiveness.

Minimum Qualifications:
Bachelor’s Degree in Business Administration, Project Management, Grants Management, Nonprofit Management, or a related field required.
3-5 years of experience managing complex programs or projects required.
Excellent oral, written and interpersonal communication skills required.
Must demonstrate ability to build and maintain strong, authentic relationships.
Must possess an understanding of philanthropic partners and grant management practices.
General knowledge of postsecondary education and principles of equity required.
Strong organizational skills and superior attention to detail required.
Proven success simultaneously managing multiple projects required.
